
How to Migrate Contacts from Outlook to Gmail

While we excel at professional migrations to Google Workspace, there are limitations when it comes to migrating contacts for clients who use Microsoft Outlook as their mail client. This applies not only to companies utilizing Microsoft’s suite of productivity software (Microsoft 365), but also to those on other providers who access their email through Outlook, such as GoDaddy or Network Solutions.
Unfortunately, Google Cloud Partners cannot transfer the contacts or calendar data of clients using IMAP to connect to their mail client. This restriction doesn’t apply to customers migrated through API, but it does pose challenges for IMAP users.
How to Migrate Outlook Contacts to Gmail
The good news is that migrating your contacts is relatively straightforward. Whether you’re an IT administrator or an individual user, you can follow these simple steps to transfer your contacts to your new Google Workspace account:
- Open the Outlook mail client.
- Click on “File” in the top left corner.
- Navigate to “Open & Export” > “Import/Export”.
- Choose “Export to a file” and click “Next”.
- Select “Comma Separated Values” and click “Next”.
- Choose the email account you want to export contacts from and select “Contacts”. Click “Next”.
- Browse to your desired file location, provide a file name (e.g., “Outlook Contacts.csv”), and click “OK”.
- Click “Next” and then “Finish”.
After exporting your contacts, it’s important to review the file for accuracy and make any necessary edits. Open the .csv file using a program like Microsoft Excel, Mac Numbers, OpenOffice, or Google Sheets. Review the fields carefully and save your changes.
Now that your .csv file is ready, you can import it into your Gmail account:
- Go to contacts.google.com.
- Click on “Import” in the left sidebar.
- Select “Select file”.
- Locate and choose your .csv file.
- Click “Import”.
Voila! Your contacts will now populate in Gmail.
Watchpoint: It’s worth noting that you can import a maximum of 3,000 contacts into Google Workspace at a time. If you have more contacts, you can separate them into multiple CSV files.
